5 Mistakes New Event Planners Make (and How to Avoid Them)

Breaking into the events industry is exciting, but most new planners hit the same pitfalls early on. These mistakes can cost you clients, money, and your reputation before you’ve even built momentum. The good news? They’re all avoidable if you know where to look.

Here are the five most common mistakes beginner event planners make—and exactly how to avoid them so you can grow faster and build a thriving career from day one. Mistake 1: Spending Too Much on Branding and Websites

New planners often think they need a $5,000 logo and a polished website before they start booking clients. You don’t. Clients care about your skills and organization—not your color scheme. They want to know if you got what it takes, and a logo, website, or an expensive photo shoot about the founder won’t tell them that. 

Start lean:

  • Create a free social portfolio on LinkedIn, Instagram, and Facebook. Social channels can actually act as your digital business card; this is where people can browse your work and learn more about you. You don’t need a website to start out with! 
  • Use Canva or Google Sheets to build a simple PDF portfolio showcasing your work. Share this with your contact list! Tell them what you’re up to and how you can help. 
  • Focus your energy on spreading the word; meet up with potential clients or service suppliers over a coffee date, share your skillset and services far and wide! (A static website won’t do that for you – you actually have to put some work into it.) 

 

Mistake 2: Skipping a Proper Client Intake System

First impressions make or break you. You have to leave your client feeling “they got this!” If your inquiry process is chaotic or flimsy, potential clients will move on to the next person who can give them that reassurance.

Use a system that makes you look prepared:

  • Set up Google Forms (*free) or a platform like HoneyBook for easy client inquiries.

  • Make sure every new client feels confident that you’re in control from the first conversation – share your process upfront and keep them informed. This could look like “Let’s book a 15-minute Discovery Call to see if we’re a good fit and set up a free consultation to unpack your event vision.” Once your Consultation is done, you reassure them again on the next steps. “I’ll unpack the information we discussed. If I have any follow-up questions, I’ll be in touch – and from here, I’ll create a cost estimate for you to review. We can refine the details from this and from there book the details as needed.”
    Instantly, they know what’s coming! Now all you have to do is deliver on that promise! 

 

Mistake 3: Being Unclear on the Event Planning Process – and sticking to deadlines

Clients don’t know what to do or expect from the process; some have no idea what it takes to create or plan an event. And that’s the great news, because that’s where you come in! It’s your job to guide them through this! Many new planners lose trust because they can’t clearly explain the timeline, milestones, or payment stages. This can create a ton of frustration and a bit of a sour taste to the whole experience. 

  • Build a simple 5-step client journey you’re confident in and that is viable in your schedule (inquiry, booking, planning, execution, follow-up).
  • Share it with clients upfront so they know what’s coming and when – you have to meet every single deadline you share here, ensure you have a time blocking system in place to get the work done! 
  • Use free tools like your calendar, Trello, or Asana to track tasks and deadlines.

 

Mistake 4: Committing to Suppliers Before You’re Paid

Booking caterers, venues, or decor without signed contracts and deposits from your client is a fast track to debt and stress. this is a big rule we live by – payment and sign off of the budget AND the contract is what secures your event and services involved. Non-negotiable! 

Protect yourself by:

  • Never commit to services until funds clear from your client, and you have a signed-off budget or terms of service. 
  • Use written agreements with clear cancellation terms. Starting out, you don’t need a big contract, but you do need to know what the boundaries are. 
  • You can absolutely pencil in the date with your suppliers – but be clear that nothing is confirmed. Merely ask them to be first in line for that date. Your supplier relationships should be supportive in nature – they’ll then contact you if they receive another enquiry for the same date or stock. You can then manage this process with your client, but at no point do you cashflow or upfront your funds. 

The deal is not done or secured until cash is in the bank! 

 

Mistake 5: Chasing Instagram Trends Instead of Client Needs

Social media can skew your focus. While trendy massive flower arches or luxury setups look amazing online, most clients want someone to manage logistics, deliver a seamless event, and help them create something beautiful with the budget they have. 

  • Listen to what your client actually wants and needs.
  • Have a network of suppliers who can deliver a range of budgets and styles. Tying yourself to one supplier with set rates can make things tricky if your client doesn’t have that budget. Invest in creating a network of suppliers all with different stock or service offerings, and offering different rates. Having this will allow you to pivot and plug into any client need and secure more business. 
  • Remember: happy clients lead to repeat bookings and referrals — not likes on the gram.
